Position:  Receptionist 

Contract:  Full-Time 

Hours: Generally, 35 hrs weekly, 8:30 a.m. to 4:30 p.m., Monday to Friday. If evening or weekend time is necessary, time will be taken in lieu.  

Full-time annual salary range: $35,000 – $45,000 

Position Summary: 

The Receptionist is directly accountable to the Director of Pastoral Services and Operations. This individual collaborates with department coordinators and works in a fast-paced team environment to ensure the smooth daily operations of the pastoral centre. The individual must be able to represent the Archdiocese of Regina with the highest level of professionalism and warmth in all interpersonal interactions, both internal and external. 

Qualifications: 

  • Preference will be given to a practicing Catholic who is an active member of a parish community 
  • Prior experience in an office setting 
  • Knowledge and experience with Microsoft Office products and the ability to learn other programs 
  • Maintain a high level of initiative, judgement and discretion when dealing with the archdiocesan clergy and laity representatives of the larger universal church and the public

General responsibilities: 

  • Answer Phones and direct calls, providing general administrative support to pastoral, chancery, and development departments as required. 
  • Greet visitors and clients in a professional and friendly manner.  
  • Respond to emails and general inquiries.  
  • Schedule and coordinate meetings/appointments and manage calendars for various staff, including boardroom bookings and parking.  
  • Event planning for diocesan-related gatherings 
  • Perform data entry and basic administrative tasks.  
  • Keep the reception area organized and welcoming.  
  • Assist staff with clerical duties as needed 
  • Maintaining the mail machine and having oversight for incoming and outgoing mail. 
  • Volunteer Coordination 
  • Coordinating communications with the landlord when needed, in collaboration with other administrative services (landlord, cleaner, shredding) 
  • Coordinate celebration cards for birthday/ordination & Papal Blessings 
  • Order books and supplies 
  • Any other duties as required or assigned
